About the Sustainable Materials Research Center (SusMat - RC):

The Sustainable Materials Research Center (SusMat - RC) is a multidisciplinary research center engaged in the development of advanced biobased products and materials thereof using biotechnological, physical, and chemical conversion strategies and engineering processes (b) understanding and controlling their underlying specific functionalities and the structure-properties relationship acting over multiple length scales from the molecular, nano to the macro level and their cross-interactions and (c) utilizing the gathered knowledge and the invented materials to address key technological challenges in Morocco and African continent and assist the transition toward a green and circular economy.

Job description:

The Sustainable Materials Research Center (SusMat - RC) is looking for an Office Manager. Candidates should hold at least a master’s degree or equivalent (bac +5) in management or any STEM-related field with previous experience as Executive Administrative Assistant and familiarity with the academic/education setting.

Under the responsibility of the SusMat - RC director, the successful candidate will be responsible for ensuring the efficient and smooth day-to-day operation of the center by performing various administrative and office tasks. Duties of the Office Manager include providing support to the director, researchers, staff, and students, assisting with daily office needs, and managing SusMat - RC’s general administrative activities.

Key duties:

Under the responsibility of the Director of SusMat - RC, the successful candidate is expected to:

  • Be the contact person for internal services and external stakeholders and partners including research institutions, industry partners, and government agencies,
  • Develop and maintain a filing system and contact lists,
  • Organize and schedule appointments directed to the director,
  • Provide the necessary assistance with any administrative/financial/contractual duties in collaboration with internal services,
  • Collect and maintain archives of the necessary information for the billing, account closing, statements, and reports addressed to internal services,
  • Assist in the preparation of dashboards and regularly scheduled reports,
  • Put in place and maintain documentation and update information systems,
  • Plan and organize meetings, take and archive the related detailed minutes,
  • Write and distribute emails, correspondence memos, letters, faxes, and forms,
  • Update and maintain office policies and procedures,
  • Order office supplies and research new deals and suppliers,
  • Make and book business travel arrangements and reconcile and submit related expense reports,
  • Assist in the organization of events, workshops, and conferences,
  • Provide general support to visitors
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Provide the necessary assistance in the preparation of any audits
  • Contribute to the definition, implementation, and application of new operational procedures
Profile recherché

Criteria of the candidate:

  1. Educational background:
  • At least Master Degree in business management or any related field; additional qualifications as an Executive Management/Administrative Assistant will be a strong asset.
  1. Experience and Skills:
  • Proven experience as an Executive Administrative Assistant, Secretary or Office Administration Manager,
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Have completed any training in project management techniques, methods, and tools are considered as an asset
  • be familiar with the education and research environment, the rules of research funding and the forms of intellectual property protection, are considered as an asset,
