Role Description:

The Personal Assistant to the Executive Principal is a critical role in the school involving high levels of confidentiality and empathy for a range of school community members and related external organisations and persons together with an understanding of the School operation. The PA to the Executive Principal is often the important point of contact for external stakeholders and the broader community therefore it is essential that this person exemplifies the ethos of the school.

The post of PA to the Executive Principal is one which is crucial to the continued success and prosperity of the school.

RESPONSIBILITIES:

1. Perform duties of the Secretary to the Executive Principal including preparing correspondence, reports, speeches and coordinate meeting diary.
2. Perform duties of the Secretary to the Board of Governors, including preparing correspondence, reports, speeches and coordinate meeting diary during their visits to the school.
3. Attend and act as a Minute Secretary in all administrative and strategic meetings of the Executive Principal.
4. Translate for the Executive Principal during meetings when required.
5. Translate and format quarterly reports to the Board of Governors on the school's current performance and the strategic development plan.
6. Make translation of the Executive Principal’s letters, presentations and reports, letters to parents from Heads and teachers from English into French, Arabic.
7. Liaise with the Board of Governors and local government bodies when necessary.
8. Undertake research on a variety of topics and make recommendations to the Senior Leadership team when required.
9. Maintain effective professional communication with all staff as well as external parties (e.g.parents, organisations, government representatives).
10. Answer phone calls/messages/emails and provide contacting people with needed information or transfer calls to appropriate individuals when relevant.
11. Efficiently manage and prioritise the complex demands of a wide range of duties and responsibilities on an everyday basis.
12. Cooperate with the Marketing team to build internal and external communication strategies.
13. Cooperate with the Admissions team to support enrolment of new pupils by arranging interviews with pupils/meetings with parents if necessary.
14. Organise press-conferences, briefings and executives’ interviews for the mass-media, including synchronous interpretation if necessary.
15. Be aware of personal/sensitive issues and be able to determine when time with the Executive Principal is appropriate.
16. Liaise with past staff and old scholars as required.
17. Coordinate the Executive Principal’s driver’s timetable.
18. Coordinate the Executive Principal’s accommodation issues.
19. Booking air tickets and hotels for the Executive Principal's business trips.
20. Ensure the Leadership team’s resolutions are implemented in due time and inform SLT of progress and results.
21. Ensure all relevant information data is kept and archived.
22. Work with the Accounts team on relevant paperwork when required.
23. Work on travel plans and itineraries of visiting guests from Inspired or members of the Board of Governors when required.
24. Ensure that the Office of the Executive Principal is characterised by an atmosphere of welcome, warmth and hospitality for students, staff, parents and visitors.
25. Work in a team (e.g. involvement in the organisation of whole school events together with the other relevant departments or teams, etc.).

Profile recherché
Qualifications
  • Bachelor degree or above
  • English proficiency minimum of IELTS 7.0 or equivalent
  • Previous experience in a PA role
  • Previous experience in education environment will be beneficial

Experience

  • An understanding and ability to demonstrate practical support of the School ethos.
  • Be highly competent in the use of the English language and have the ability to compose letters and documents when necessary.
  • Be an efficient and effective administrator, with an ability to work well under the pressure of deadlines.
