As we expand our activities, we are seeking a dedicated Office Manager to ensure the smooth and efficient operation of our office.

Position Summary:

We are seeking a highly organized and proactive Junior Office Manager to oversee the daily administrative operations of The UM6P Vanguard Center. The ideal candidate will have excellent organizational and communication skills, the ability to manage multiple tasks efficiently, and a commitment to maintaining a productive and positive office environment.

Key Responsibilities:

- Manage day-to-day office operations, including scheduling, correspondence, and administrative support.

- Oversee office supplies and inventory, ensuring timely procurement and restocking.

- Coordinate meetings, events, and travel arrangements for staff and visitors.

- Maintain office records, files, and databases, ensuring accuracy and confidentiality.

- Assist with budget management, expense tracking, and financial reporting.

- Serve as a point of contact for internal and external stakeholders, addressing inquiries and providing information as needed.

- Implement and maintain office policies and procedures to ensure compliance and efficiency.

- Support HR functions, including onboarding new employees and maintaining personnel records.

- Coordinate with IT and facilities management to ensure a safe and functional office environment.

- Participate in team meetings and contribute to office planning and improvement initiatives.

Profile recherché

Qualifications:

- Bachelor’s degree in Business Administration, Management, or a related field.

- Proven experience as an Office Manager, Administrative Assistant, or similar role.

- Strong organizational and time-management skills.

- Excellent communication and interpersonal abilities.

- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).

- Familiarity with office management procedures and basic accounting principles.

- Ability to multitask and prioritize tasks effectively.

- Strong problem-solving skills and attention to detail.

- Ability to work independently and as part of a team.

Preferred Qualifications:

- Experience working in an academic or research institution.

- Knowledge of HR processes and procedures.

- Familiarity with project management software (e.g., Asana, Trello).
